Position Overview: The Administrative Assistant will provide comprehensive administrative support to ensure efficient operation of the office. This role requires excellent organizational skills, the ability to handle multiple tasks simultaneously, and a proactive approach to problem-solving.
Key Responsibilities:
• Office Management: Maintain office supplies inventory by checking stock to determine inventory level, anticipating needed supplies, and placing and expediting orders.
• Administrative Support: Provide administrative support to ensure efficient operation of the office, including answering phone calls, scheduling meetings, and managing calendars.
• Document Preparation: Prepare reports, memos, letters, and other documents, using word processing, spreadsheet, database, or presentation software.
• Communication: Handle incoming and outgoing communications, including emails, phone calls, and mail.
• Data Entry and Record Keeping: Maintain electronic and paper records to ensure information is organized and easily accessible.
• Meeting Coordination: Schedule and coordinate meetings, appointments, and travel arrangements for managers or supervisors.
• Customer Service: Greet and assist visitors, clients, and employees with a professional and positive attitude.
• Project Assistance: Assist in the preparation of regularly scheduled reports and special projects as needed.
• Compliance: Ensure compliance with company policies and procedures.
Qualifications:
• Education: High school diploma or equivalent; Associate's or Bachelor's degree in Business Administration or related field preferred.
• Experience: Proven experience as an administrative assistant or office admin assistant.
• Skills:
• Proficiency in MS Office (MS Excel, MS Word, and MS Outlook, in particular).
• Excellent time management skills and the ability to prioritize work.
• Attention to detail and problem-solving skills.
• Excellent written and verbal communication skills.
• Strong organizational skills with the ability to multi-task.
• Attributes:
• High degree of professionalism and strong interpersonal skills.
• Ability to handle sensitive information with discretion.
• Proactive and able to work independently with minimal supervision.
