The Document Controller is responsible for managing and controlling the flow of documents within the organization, ensuring accuracy, completeness, and timely distribution. This role requires extensive experience, with a preference for candidates who have 7-8 years of experience, particularly with proficiency in Aconex, a widely used document management software in the construction industry.
Key Responsibilities:
Establish and maintain document control procedures to ensure efficient handling, tracking, and distribution of documents.
Receive, review, and classify incoming documents, such as drawings, specifications, reports, and correspondence, according to established protocols.
Enter document metadata into the document management system accurately and consistently.
Organize and maintain electronic and physical document repositories, ensuring easy retrieval and accessibility for authorized personnel.
Coordinate with project teams, contractors, and stakeholders to facilitate the exchange of documents and ensure timely submission and approval.
Monitor document workflows and track document statuses, following up on outstanding items and expediting approvals as necessary.
Conduct regular audits of document control processes and systems to identify areas for improvement and ensure compliance with relevant standards and regulations.
Provide training and support to project team members on document control procedures and software usage.
Generate and distribute regular reports on document status, distribution, and revision history.
Collaborate with internal and external auditors during document audits and reviews, providing accurate and timely documentation as required.
ualifications & Requirements:The successful candidate should have the following qualifications:
Bachelor's degree in a relevant field or equivalent experience.
Proven experience as a Document Controller, preferably with 7-8 years of experience.
Proficiency in document management software, with specific experience in Aconex highly preferred.
Strong understanding of document control principles, procedures, and best practices.
Excellent organizational skills and attention to detail, with the ability to manage large volumes of documents effectively.
Strong communication and interpersonal skills, with the ability to collaborate effectively with cross-functional teams.
Ability to work under pressure and meet tight deadlines while maintaining accuracy and quality.
Familiarity with construction industry standards and practices is advantageous.
Fluency in English
Proficient with MS Office (Excel, Word, PowerPoint, Project)
Resident in Saudi Arabia, valid residency
