Job Title: Document Management Assistant
Job Overview: The Document Management Assistant is responsible for efficiently digitizing physical documents and accurately uploading them to the company’s Enterprise Content Management (ECM).
This role ensures that all documents are properly scanned, indexed, and organized within the ECM, enabling easy retrieval and secure storage of company records.
Key Responsibilities:
Document Preparation: Prepare physical documents for scanning by removing staples, paper clips, and other bindings. Organize documents for efficient processing.
Scanning: Operate document scanning equipment to create digital copies of paper documents. Ensure that scans are of high quality and that all pages are captured accurately.
Quality Control: Review scanned documents for clarity, completeness, and accuracy. Rescan documents as needed to ensure high-quality digital records.
Data Entry: Accurately enter document metadata (e.g., document title, date, author) into the ECM for indexing and easy retrieval.
Upload: Upload scanned documents to the ECM, ensuring they are correctly categorized and stored in the appropriate locations.
File Management: Organize and maintain digital files within the ECM, following established naming conventions and file structures.
Record Keeping: Maintain accurate records of scanned and uploaded documents. Track the status of documents throughout the scanning and upload process.
Compliance: Ensure that all document handling and storage procedures comply with company policies and any relevant legal or regulatory requirements.
Troubleshooting: Identify and resolve issues with scanning equipment or ECM uploads. Report any persistent problems to the appropriate technical support teams.
Confidentiality: Handle sensitive or confidential documents with care, ensuring that they are securely managed throughout the scanning and upload process.
Qualifications:
High school diploma or equivalent; additional training or certification in document management or related field is a plus.
Proficiency in using scanning equipment and document management software.
Strong attention to detail and accuracy in data entry and document handling.
Advanced computer skills, including familiarity with office software and file management.
Good organizational skills and the ability to maintain systematic records.
Good language skills in both Arabic and English.
Years of experience as a Document Management Assistant.
Place of residence in Riyadh.
Transferable iqama.
Preferred age range: 22-27 years old.
