Key Responsibilities:
Document Management:
Organize and manage both physical and digital documents for easy retrieval.
Create, store, and maintain company documentation, ensuring that all documents are up-to-date and accurate.
Document Control Systems:
Implement and oversee document management systems (DMS) or Electronic Document Management Systems (EDMS).
Maintain version control, ensuring that the latest versions of documents are used.
Compliance and Standards:
Ensure all documents comply with company and industry-specific standards, as well as regulatory and legal requirements.
Regularly update files and records to ensure they are in compliance with internal policies.
Distribution and Communication:
Distribute documents to relevant stakeholders, ensuring proper communication and compliance.
Track the flow of documents and information between departments, clients, and vendors.
Archiving and Retrieval:
Oversee the proper storage, archiving, and disposal of documents in accordance with company policies and legal guidelines.
Maintain an efficient and effective system for retrieving documents quickly when needed.
Collaboration and Coordination:
Work closely with project teams, management, and other departments to manage project documentation.
Ensure that documents are uploaded to shared drives, accessible to authorized personnel only.
Audits and Quality Checks:
Conduct periodic audits and checks to ensure the integrity and quality of stored documents.
Manage document revision and approval processes.
Skills and Qualifications:
Educational Requirements:
A degree or diploma in Business Administration, Information Management, or related fields. Some roles may require technical knowledge in engineering, construction, or a specific industry.
Experience:
At least 2-3 years of experience in document control or related fields.
Experience with Document Control Software, EDMS, or similar systems.
Technical Skills:
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
Familiarity with document management software like Aconex, Procore, or similar.
Language Skills:
Fluency in English (Arabic may be required in some regions).
