Job Summary
Document Controller / Site Administrator will manage the daily administrative and document control activities at the site. This role ensures smooth communication between the site team and the main office while handling site documentation, coordinating with contractors and suppliers, managing inventory, and assisting site management in various administrative tasks.
Key Responsibilities
• Site Administration:
o Manage the daily administrative tasks at the site to ensure smooth operations.
o Coordinate with the main office for supplies, administrative requests, and any other operational needs.
o Assist site management with daily operations and logistics support.
• Document Control & Management:
o Organize and maintain all project-related documentation, including site reports, contracts, drawings, and correspondence.
o Ensure accurate and up-to-date filing systems for all documentation in both hard and soft copy formats.
o Control and track incoming and outgoing documents to ensure compliance with project specifications and timelines.
• Coordination & Communication:
o Act as the primary point of contact for document-related queries and communication between the site and the main office.
o Coordinate with subcontractors, suppliers, and other departments to ensure timely receipt and submission of required documents.
• Report Preparation:
o Prepare and submit daily, weekly, and monthly reports to the site management team, detailing site activities, progress, and other administrative matters.
o Ensure timely submission of documentation related to workers, materials, and project progress.
• Inventory & Resource Management:
o Maintain an accurate inventory of supplies and equipment at the site.
o Track resource usage and ensure that required materials are ordered and available when needed.
• HR Administration:
o Assist with HR-related activities such as employee onboarding, offboarding, and attendance tracking.
o Coordinate with HR for employee documentation and resolve any employee-related queries.
o Support payroll processing and keep records of worker attendance.
Core Expertise
• Proficient in MS Office (Word, Excel, PowerPoint, MS Project)
• Experience with document management systems
• Strong organizational skills and attention to detail
• Effective communication and coordination abilities
• Basic accounting and payroll software knowledge
Qualifications
• Education: Minimum of graduate degree in any field.
• Experience: 2-3 years of experience in a similar administrative role.
• Preferred: Previous experience in a construction or industrial site is a plus but not required.

• Ability to work independently and as part of a team
• Familiarity with administrative and clerical procedures
