Job description
Key Responsibilities
1. HR Operations & Employee Administration
Maintain accurate and up-to-date employee records, personnel files, and HR databases.
Prepare employment contracts, HR letters, certificates, and other employee documentation.
Manage employee onboarding, transfers, promotions, leave, and separation procedures.
Monitor employee attendance, working hours, overtime, and absences.
Ensure timely processing of employee HR requests and transactions.
Maintain confidentiality of employee information and sensitive HR matters.
2. Employee Relations
Serve as a point of contact for employees regarding HR policies, procedures, benefits, and employment-related queries.
Handle employee grievances, disciplinary matters, investigations, and workplace concerns professionally.
Support the implementation of disciplinary and corrective-action procedures in accordance with company policy and Saudi Labor Law.
Promote positive employee relations and a professional workplace environment.
3. Saudi Labor Law & HR Compliance
Ensure HR practices and procedures comply with applicable Saudi Labor Law and HRSD regulations.
Monitor regulatory changes and advise management of relevant HR requirements.
Maintain appropriate HR documentation and records for compliance and audits.
Support the company in addressing labor-related issues and disputes.
Ensure employment contracts, employee records, leave, working hours, termination, and other HR processes are properly administered. HRSD has issued updated guidance concerning amendments to Saudi Labor Law that took effect on 19 February 2025.
4. Saudization & Government HR Platforms
Support the company's Saudization and workforce-nationalization requirements.
Monitor employee classifications and Saudization-related requirements applicable to the company's activities.
Maintain and update employee information through relevant government platforms.
Coordinate HR transactions through platforms such as Qiwa, GOSI, Mudad, Muqeem, and other applicable government systems, depending on the organization's requirements.
Prepare required HR reports and documentation for government compliance.
Saudi Arabia's HRSD actively oversees Saudization programs and employment nationalization policies across sectors, so HR Specialists should understand the requirements applicable to their company's specific industry and job categories.
5. Recruitment & Onboarding
Coordinate recruitment activities with hiring managers.
Prepare job postings, screen CVs, schedule interviews, and coordinate candidate assessments.
Conduct reference and background checks where applicable.
Prepare employment offers and required documentation.
Coordinate pre-employment and onboarding activities.
Ensure new employees complete required documentation and HR processes.
6. Payroll & Benefits Support
Review attendance, overtime, deductions, allowances, and other payroll-related information.
Coordinate monthly payroll inputs with Finance/Payroll.
Support employee inquiries related to salary, allowances, deductions, and benefits.
Coordinate social insurance-related employee transactions and maintain accurate records.
Assist with final settlements and employee exit calculations.
7. Leave, Attendance & Performance
Monitor annual leave, sick leave, emergency leave, and other employee absences.
Maintain accurate leave balances and attendance records.
Support annual performance appraisal processes.
Coordinate performance review documentation and follow-up actions.
Assist managers in implementing performance improvement plans where required.
8. Employee Separation
Coordinate resignations, terminations, contract completion, and other separation processes.
Conduct or coordinate exit interviews.
Prepare required clearance and separation documentation.
Support final settlement and end-of-service processes.
Ensure employee records and government HR transactions are properly updated
