The Document Controller is responsible for managing, organizing, and maintaining all project documents, ensuring accuracy, compliance, and accessibility. The role involves handling technical documents, drawings, contracts, and reports to support smooth project execution and regulatory compliance
Roles and Responsibilities:
1. Document Management:
• Establish and maintain an organized document control system.
• Manage and control project documentation, including drawings, contracts, specifications, RFIs, and transmittals.
• Ensure that all documents are properly classified, stored, and retrievable.
• Implement version control to track document revisions and approvals.
2. Compliance and Quality Control:
• Ensure that all documents comply with company standards and regulatory requirements.
• Review documents for accuracy and completeness before distribution.
• Ensure confidentiality and security of sensitive project information.
3. Coordination and Communication:
• Work closely with project teams, engineers, and subcontractors to distribute and retrieve documents.
• Coordinate with external stakeholders such as consultants, contractors, and clients regarding document submissions and approvals.
• Maintain logs of incoming and outgoing documents and ensure timely processing.
4. Document Distribution and Tracking:
• Distribute approved documents to relevant departments and stakeholders.
• Track the status of submitted documents and follow up on pending approvals.
• Maintain an up-to-date document register and tracking system.
5. Reporting and Archiving:
• Generate reports on document control activities, including pending approvals and revisions.
• Archive project documents in accordance with company policies and legal requirements.
• Assist in preparing final project documentation for handover to clients.
